HR Transformation to help support change

Business challenge

Our client operates across multiple industries and geographic regions and needed to have a single view of their organisation. In addition, their legacy HR system was coming up to the end of its contracted period and they were in need of a new solution. Recognising the need to be on a market-leading SaaS HR system, we worked with our client to implement Workday as part of their wider HR Transformation programme.

Our approach

Working with the client, we led the full end-to-end deployment of Workday throughout two phases.

The first phase of the project, with a duration of 11 months, consisted in the deployment of:

  • Core HCM
  • Configurable Security
  • International assignments
  • Absence Management
  • Benefits Administration (UK, Ireland and India)
  • Compensation
  • Employee and Manager Self-Service
  • Interfaces including five Payroll interfaces

The second phase of the project, consisted of the deployment of the following areas:

  • Performance Management
  • Benefits Administration (Central Europe and Asia Pacific); including the build of custom pension reports
  • Recruiting
  • Interface build to Broadbean Job Board aggregator

To ensure that the migration was seamless, from start to finish:

  • We migrated organisation and employee data from existing HR systems to the new SaaS implementation of Workday
  • Implemented a global process framework in Workday whilst allowing for local variation to meet any local country regulatory requirements
  • Implemented country-specific rules for Benefits, Compensation and Absence management modules
  • Informed requirement gathering with SME and best practice knowledge

In the first week of go-live, user adoption was 80%. Through supporting the client with knowledge transfer throughout the project, by the go-live date they were fully upskilled in Workday concepts and functionality. This meant that they were capable of maintaining the system and supporting production users from Day 1.

Business Outcomes

The implementation of Workday was very successful. The client almost instantly saw greater flexibility and adaptability to changing business needs and accelerated access to innovation from an HR standpoint. There were also productivity and efficiency gains in key functional areas throughout the business.

Through implementing the cloud, our client was also able to reduce costs with no infrastructure and limited IT support requirements.
